Fyysikkokilta ry:n vuoden 2023 sääntömääräinen vuosikokous pidetään maanantaina 27.2.2023 kello 16.15 alkaen E-salissa, osoitteessa Otakaari 1, Espoo, 02150.
Kokouksessa käsitellään vuoden 2022 toimintakertomus ja tilinpäätös, sekä hyväksytään toimintasuunnitelma ja talousarvio vuodelle 2023. Raadin pohjaesitys toimintasuunnitelmaksi vuodelle 2023 on nähtävissä kokouskutsun liitteenä 2, ja raadin pohjaesitys talousarvioksi vuodelle 2023 on nähtävissä kokouskutsun liitteenä 3.
Killan tunnusohjesäännön mukaan esityksen kultaisen ansiomerkin myöntämisestä tekee raati tai vähintään kymmenen killan jäsentä yhdessä. Ansiomerkin myöntämisestä päätetään killan kokouksessa viiden kuudesosan enemmistöllä annetuista äänistä.
Raati esittelee pohjaesityksensä kultaisen ansiomerkin saajaksi tai saajiksi kokouksessa. Edellä mainitun killan tunnusohjesäännön mukaan myös vähintään kymmenen kiltalaista pystyy yhdessä esittämään kultaista ansiomerkkiä ansioituneelle kiltalaiselle.
Kokouksessa käsitellään raadin esitystä häirintätilanneohjesäännön muuttamiseksi. Pohjaesitys on nähtävissä kokouskutsun liitteenä 4. Häirintätilanneohjesäännön muuttamisen perusteena on pian julkaistava Google Forms-lomake, jolla häirintätilanteista voisi ilmoittaa. Ilmoitus on myös mahdollista tehdä tätä kautta anonyymisti. Sääntöjä on syytä täydentää tämän osalta, koska lomakkeen kautta tulevat ilmoitukset tulee automaattisesti kaikkien häirintäyhdyshenkilöiden käsiteltäväksi eikä vain kontaktoidulle häirintäyhdyshenkilölle kuten aiemmin. Tavoitteena on esimerkiksi saada sitseille helpompi ja lähestyttävämpi tapa ottaa yhteyttä häirintäyhdyshenkilöihin, kun lomake olisi näkyvillä läsyissä QR-koodin takana. Kuitenkin edelleen häirintäyhdyshenkilöihin voi myös ottaa suoraa yhteyttä vanhaan tapaan, jolloin häirintäyhdyshenkilöt eivät voi keskustella tilanteesta yhdessä avoimesti ilman häirintää kokeneen suostumusta.

Guild of Physics annual meeting of year 2023 will be held on Monday 27.2.2023, starting at 16.15, in lecture hall E, at Otakaari 1, Espoo, 02150.
The meeting will discuss the annual report and financial statements for 2022, and approve the action plan and budget for 2023. The draft plan of the board for 2023 can be found in attachment 2 to the invitation to the meeting, and the draft budget of the board for 2023 can be found in attachment 3 to the invitation.
According to the guild’s symbol code, the proposal to award a gold badge of merit is made by the board or at least ten guild members together. The decision to award a badge of merit is made by the guild by a five-sixths majority of the votes cast at the meeting.
The board will present its ground proposal as the recipient or recipients of the Gold Medal at the meeting. As stated above, according to the guild’s symbol code at least ten guild members are also able to together to present a golden badge of merit to a deserving guild member.
The meeting will discuss the board’s proposal to amend the guild’s code of conduct on harassment. The board’s proposal can be found in the attachment 4 to the invitation to the meeting. The reason for the amendment of the guild’s code of conduct on harassment is the soon to be published Google Forms-form, which could be used to report harassment situations. It will also be possible to report anonymously via this form. The code should be completed in this respect, as reports made via the form will automatically be dealt with by all harassment contact persons and not only by the contacted person as in the past. The aim is, for example, to make it easier and more accessible for people in Sitsit to contact harassment contact persons by having the form visible as QR-code. However, contacting the harassment contact persons can still be done directly via messages, which means that the harassment contact persons cannot discuss the situation together openly without the consent of the person.
